HVAC / AI agents & custom CRM

HVAC inquiries.
A connected next step.

REMOTE DEVELOPMENT / US & EU

A service request needs context: the customer, the property, the work, and who should follow up. Futureware can build AI voice and chat agents, custom CRM, and integrations around that journey for US and EU HVAC businesses.

Discuss a HVAC workflow

What the work
can bring together.

A custom project starts with your actual process. These capabilities are scoped to your team, approved information, and compatible tools.

Capture the right inquiry.

Collect the caller's contact details, service location, and request using questions approved by your team. Check service-area rules before offering a visit.

Give each request an owner.

Connect the inquiry to a customer record, sales stage, responsible staff member, and follow-up task. Keep the next action visible alongside the history.

Book with clear boundaries.

Use approved availability and job types. Confirm an appointment only after the connected scheduling system accepts it, with a fallback for unsupported requests.

  1. 01

    Understand the request

Gather the service type, location, and customer details. Use agreed rules to route urgent or unsuitable requests to a person.

  2. 02

    Check the next step

Check compatible calendar availability or capture a callback request. Do not promise a technician or a time slot the system has not confirmed.

  3. 03

    Connect the record

Save the inquiry and agreed outcome to the CRM, assign an owner, and prepare the next follow-up.

  4. 04

    Keep the team informed

Show booking or integration failures and give staff a clear way to review and continue the conversation.

Check the details.
Agree the scope.

Integrations, information handling, and acceptance checks belong in the proposal, before a production rollout.

Your scheduling and CRM tools

We check official APIs, account plans, permissions, service types, and availability rules before agreeing to an integration. Replacing a working system is not always necessary.

Phone, speech, and messaging providers

Provider selection, number setup, conversation design, usage costs, and notification channels are agreed as part of the scope.

A practical acceptance check

Test supported bookings, duplicate inquiries, unavailable appointments, provider failures, and human handoff with sample data before a production rollout.

Read the project context.

This page describes services available to commission. The HVAC booking story is an illustrative workflow, and Futureware CRM is a working demonstration with fictional records. Neither establishes a deployed HVAC customer system or measured business results.

HVAC questions

Useful answers.
Clear expectations.

01Can an AI agent book HVAC appointments?

A commissioned agent can collect inquiry details and request appointments through a compatible scheduling integration. The exact services, service area, booking rules, confirmation steps, and human handoff are agreed for your business.

02Can it work with our current field-service software?

Possibly. We review the software's official API, subscription plan, permissions, and workflow limitations first. We then propose a supported integration or an alternative, rather than promising compatibility before checking.

03Can we start with the CRM or one inquiry workflow?

Yes. We can scope a focused first phase, such as inquiry capture and follow-up, with clear acceptance checks. Voice booking or additional workflows can follow when the foundation is ready.

04What happens with an urgent or unclear request?

The workflow needs agreed escalation rules and a human fallback. It should not give unsupported technical advice, invent availability, or guarantee an emergency response.

05How do US and EU projects work remotely?

You work directly with Futureware's founder in Bangladesh. We agree communication windows around your time zone, review the existing process, and set milestones, ownership, deployment responsibilities, and provider costs in the proposal.
